Remote- Administrative Assistant/Full-time (Newmarket, ON Canada). ClaimsPro is Canada's largest independent insurance adjusting firm. We employ over 700 independent adjusters from across Canada and empower our team with tools, technology and support to excel in their careers.

We are looking for a strong Administrative Support candidate to join our team. This position is remote.

Job Responsibilities
  • Provide support to the adjusting team (Accident Benefits, Property or other areas) and the branch office.
  • Deliver a high level of customer service to clients and the insured.
  • Set up and prepare new claims assignments for internal adjusters in accordance with KPI and client guidelines.
  • Maintain a professional telephone manner and excellent written and verbal communication skills.
  • Problem solve and work effectively both independently and in a team environment.
  • Demonstrate strong organizational skills and the ability to re-prioritize tasks and manage time effectively.
  • Be a team player with interpersonal skills to interact with individuals at all levels of the organization.
  • Maintain composure under pressure in a fast-paced and changing environment.
  • Maintain applicable information and data entry within internal claims management software.
  • Send appropriate client acknowledgements, confirmations and correspondence to clients, claimants, legal representatives and others on various claim files.
  • Transcribe data from source documents following standardized procedures, with some judgment for review by the adjuster.
  • Process client invoicing for claims and prepare files for closure.
  • Provide reception relief, answer phones, and forward calls professionally and efficiently.
  • Other duties as assigned.
Qualifications & Experience
  • A post-secondary diploma in Office Administration, or experience in a real estate office or law office; equivalency will be considered.
  • Ongoing commitment to education and learning.
  • Able to draw valid conclusions and communicate them effectively.
  • Qualify for Adjuster's license and willingness to take courses to obtain license in the future.
  • Proficient with Microsoft Office products (Outlook, Word, Excel, OneDrive).
  • Previous experience within a dynamic team is preferred.
  • Attention to detail and ability to manage changing priorities.
  • Demonstrated initiative, follow-up skills and ability to maintain confidentiality.
  • Professionalism and strong work ethic; ability to contribute to a positive team dynamic.
  • Strong written and verbal communication skills; ability to handle conflicts professionally.

  • Time management and prioritization skills; ability to handle multiple priorities.
