Agilent is collaborating with leading biopharmaceuticals in Ireland and is hiring for the integral and dynamic role of on-site Enterprise Scheduling Coordinator (ESC).
Notes: This position is on-site and involves coordination of engineers for maintenance activities, service planning, and vendor/customer liaison. Own transport is required for this role. You would be working as an independent contractor, so please apply only if you are currently in Ireland and have either an EU Passport or Stamp 4.
Responsibilities- Represent Agilent Technologies delivering high levels of customer satisfaction in a dynamic, fast-paced pharmaceutical site.
- Plan, schedule and host engineers for on-site maintenance activities; manage and update the scheduled services plan; respond to breakdown repair requests.
- Work with customer internal and third-party vendors; manage contractual response times and minimize rescheduling while delivering services within agreed timelines.
- Build and maintain strong customer relationships; keep customers informed of scheduling changes.
- Service coordination: organize service visits in alignment with site schedule; manage necessary standards, parts and IT requests for successful service completion.
- Vendor hosting: act as the dedicated point of contact for on-site services; manage permits and support service engineers during visits.
- Act as Customer POC for scheduling or operational queries; handle daily administrative duties such as quotation requests, purchase orders, and cost reconciliation; track out-of-scope costs and report to the account manager.
- Attend operational calls and customer meetings; manage a high volume of emails.
- Asset management: ensure inventories are accurate; manage additions, removals and changes to the inventory; monitor performance metrics to meet maintenance/repair deadlines with minimal disruption.
- Use scheduling applications such as SAP CRM and Smartsheet; work as a team player with a focus on customer satisfaction.
- Schedule vendor inductions and ensure compliance with vendor management requirements; collect risk assessments and training records prior to scheduled services.
- Minimize instrument downtime by managing repair requests; monitor adherence to schedule for preventive maintenance.
- Oversee shipment and tracking of off-site instruments; manage data including inventory, service metrics, schedules and costings; collate vendor service reports and upload to customer CMMS; close related work orders.
- Third level qualification; science qualification advantageous.
- Team player, capable of taking ownership and helping colleagues with a positive attitude.
- Ability to manage sudden changes in priorities; strong problem-solving and multi-tasking skills.
- Strong planning, organizational and time management abilities; able to prioritize and meet deadlines.
- Excellent communication skills with the ability to interact with customers, vendors and stakeholders.
- Ability to work independently with limited managerial input.
- Familiarity with planning/administrative tools; SAP or Smartsheet preferred.
- Fluency in English (verbal and written).
- Willingness to participate in ongoing training and development.
