Vhi Group Services DAC have a full-time permanent position within the P&S Operations team for a Group Property & Capital Asset Specialist. The successful candidate will be responsible for the management and administration of all Vhi Properties and capital assets, working closely with our facilities team and energy team to ensure we maximise the utilisation of our properties and capital assets with a strong focus on efficiencies and value for money whilst also meeting the strategic needs of our business. The successful candidate must be strategically focused with clear and concise communications skills and the ability to influence others. Role Purpose Management of a Vhi property portfolio Implementation of Vhi Property strategy as agreed with Group Property Steering. Maintain the Master Property Vhi Group Property register and monitoring of same. Management of any sublet properties Review of leased buildings, break clauses, service charges and assist in the renegotiation of leases as required. Prepare and supervise service charge budgets and sinking funds as required. Manage and ensure best outcome for our property rates ensuring reviews take place and rebates provided with local authorities. Provide and present proposals, reports and updates as required to Vhi Group Property steering and other reports and required tracking against specific metrics. Organise annual property market valuations and bi-yearly reinstatement valuations. Management and reporting on risks associated with property and key capital assets in accordance with Vhi risk appetite and risk management framework. Work closely with the relevant specialist to ensure all properties are compliant with all relevant legislation around Health, Safety and Welfare, Environmental & Energy, DAC, Planning laws for commercial semi-state. In conjunction with Head of Services, manage our capital asset improvement programme for all our properties to ensure we meet our commercial semi state obligations under climate action plan 2030. Manage and coordinate the acquisitions and disposals of all Vhi Properties with the relevant stakeholders in line with our property strategy. In conjunction with Head of Services manage and coordinate the implementation of key capital asset project work and tendering processes across relevant properties. Collaborate closely with insurance companies on policies and claims i.e. premiums & excess policies. Liaise with Head of Services, Property steering members, landlords, local authorities, tenants, SMEs, SEAI and other relevant stakeholders on all related property matters. Keep financial records and track against agreed budgets. Host quarterly property steering meetings, including preparing packs and issuing minutes and actions as required. Execution of any property related legal documentation (memos, seals, signatures) Review and amend policies, procedures and other related governance and management documents on an annual basis or as legislation changes. Providing support and assistance to the Head of Services on all matters relating to Services/ P&S operations as maybe required from time to time. Education & Experience Third Level degree qualified preferable or qualifications in property management At least two years in a general business/ property management environment. Strong presentation skills and ability to chair meetings. Advanced word, excel and PowerPoint required. Advanced Report/Proposal writing required. SharePoint and Microsoft project experience desirable. Demonstrable experience in a similar role/similar level required. Interaction with facilities and property management environment a distinct advantage Skills and Abilities Highly numerate and analytical. Structured and organized individual. Strong presentation skills and ability to chair meetings. Excellent communication skills, both written & verbal. Results focused with excellent attention to detail. Ability to work on own initiative but also as part of a team. Strong influencing skills with a proven ability to proactively seek solutions. Demonstrated alignment to the Vhi values.
