The Examinations Officer (Grade VII) is an administrative position within the Office of the Vice President for Academic Affairs & Registrars general functional area. Reporting to the Academic Administration and Student Affairs Manager, the Examinations Officer (Grade VII) fulfils a leading role in the organisation with responsibility for the strategic development and operation of Student Examinations in accordance with University policies and procedures. The Examinations Officer will manage the Examinations Office and will require regular contact with students, staff and external stakeholders. The Examinations Officer has a high public visibility, providing a wide range of important services to staff and students of the University. The Examinations Officer will also deal with confidential and personal information. The appointee will work under the overall direction of the Academic Administration and Student Affairs Manager. This line management arrangement may be amended as MTUs organisational structure evolves over time. Please note the postholder may be required to travel between MTU Campus locations. The postholder will use initiative and forward-planning and will work with multiple functions within MTU. Duties and responsibilities of the position include but are not limited to: Manage the administrative functions associated with the Examinations Office. Manage all aspects, roles and duties associated with the Examinations Office. Supervise all staff attached to the Examinations Office. Prepare detailed reports on Examinations. Contribute to the preparation, development and implementation of relevant University policies and procedures, ensuring adherence to best practice. Liaison with the University Executive, Senior Staff and Central Services Managers of the University and other staff and stakeholders as required. Participate in all committees/groups on which the appointee is assigned. Work closely with the Banner Student Records System Team in relation to the processing and issuing of examination results. Prepare and oversee relevant budget requirements of the Examination Office. Identify, where appropriate, the training needs of staff attached to Examinations. Lead and manage a large and diverse team. Note: The successful candidate may be requested to work outside office hours including evenings and Saturdays, at peak exam times. Time in lieu or paid overtime is allowable in these instances. The successful candidate will have minimum academic qualifications and experience as follows: Essential: Have obtained at least Grade D3 (H6/06) in five subjects in the Leaving Certificate Examination (higher, ordinary, applied, or vocational programmes) or equivalent or have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher or have appropriate relevant experience which encompasses equivalent skills and expertise. Experience in a post which indicates the potential of the applicant to perform the main duties of the post. A thorough understanding of the overall workings of the University. Project Management skills: to include strong organisational and problem-solving ability. Excellent communication skills: Good verbal and written communication skills, with the ability to communicate well orally, in writing, or via electronic means, as appropriate to audience requirements. Ability to draft reports and a knowledge of the skills associated with this. Excellent organizational skills, and the ability to manage a varied and demanding schedule of competing priorities within tight deadlines. Proficiency in the use of information and communication technologies including the Microsoft Office Suite, particularly Word, Outlook, Excel and Teams. Know-how and skills in the use of IT and information systems generally. Good administrative and office management skills. Good analytical and numeracy skills. People management and leadership skills and knowledge on how to support other staff in the performance of their functions. Well-developed interpersonal skills, and the ability to establish and maintain effective working relationships with internal and external stakeholders. Exhibit discretion, tact, courtesy and sound judgement when dealing with students, academic staff, professional, managerial and support staff, external parties and individuals. Ability to maintain data confidentiality of all times. Ability to be adaptable and responsive to the varied and dynamic work environment which is necessary for the efficient operation of the Examinations Office. Fluent in written & spoken English. Desirable: Level 7 degree or higher from a recognised degree awarding authority or studying towards same. Three years plus administrative experience in a higher education or similar environment. Experience using IT systems in a large corporate organisation. Project implementation experience in a higher education or similar sector. Experience in the drafting of reports, and documents such as guidelines, procedures. Knowledge and understanding of the Irish higher education landscape. Knowledge and understanding of Assessment Regulations and Examination Processes.
