We are recruiting for a Legal Secretary to join our legal team in An Post Reporting to the General Counsel, the Legal Secretary is a key member of the Legal Department, playing a vital role in supporting the legal teamand ensuring the seamless operation of the in-house legal function. In this multifaceted position, you will provide comprehensive administrative and organisational support to the General Counsel, the Litigation and Dispute Resolution HR Business Partner,as well as the wider Legal Department on a regular basis. Responsibilities: The responsibilities associated with the role include, but are not limited to: Day to day office management of the Legal Department including recording of attendance, management reporting, scheduling meetings, preparing agendas, set up and processing of invoices, and filing correspondence. Supporting the General Counsel in administrative tasks such as preparing management reports and presentations, diary management, arranging meetings, completing attendance recording, and filing correspondence. File creation and management, following archiving procedures on case management system, while ensuring compliance with Legal Department data retention policy. Preparing papers for TV Licence prosecution hearings and attending on counsel in court. Preparing briefs for counsel and other administrative work related to litigation cases and preparation for court hearings. Ensure safe and efficient handling of confidential data. Responding to internal and external communications to key stakeholders. Supporting the management of External Counsel, recording costs, and preparing quarterly reports to assist engagement. Supporting the General Counsel in preparing, analysing and reporting on the Legal Department budget. Working with General Counsel with various Transformation initiatives. Ensuring the use of technology and data analytics in the Legal Department: Ensure case management system correctly and accurately used by team. Promote use of intranet by clients, keep intranet up to date and report on key metrics. Demonstrating An Post values and behaviours in your day to day work and addressing behaviour that supports/conflicts with them. Leading out on work involved in implementing an upgrade to the existing case management system. Provide support in relation to managing the Legal Insights programme and knowledge management within the team. Qualifications: The ideal candidate should have a high level of attention to detail, excellent organisation and communication skills (verbal and written). You should be a strong team player with the ability to multi-task and adapt to changing demands and deadlines. You will be computer literate with a high level of experience in using Microsoft Word, PowerPoint and Excel. You will also possess experience in case management systems such as Practice Evolve. You will be a qualified Legal Secretary, Legal Executive and or hold a Certificate in Legal Skills (Law Society of Ireland) and/or have experience of working in an in-house Legal Department. A solid understanding of legal operations and procedures is essential. You will possess a proven ability to communicate effectively with stakeholders at all levels, translating complex information into clear, meaningful insights. Proactive and self-managed, you thrive under pressure, consistently meeting tight deadlines with efficiency and composure.
