Role focus
We are recruiting for a Focus Team Coordinator position within our Audit Practice. Your responsibilities will centre around three key areas (1) Process Management (2) Liaison between audit engagement teams and the Central Audit Support Unit (CASU) (3) Efficient management of workflow between audit engagement teams and CASU and management of the Proactive Calendar and Workflow Tool.
Below is a list of some of the key responsibilities associated with the role, there will be scope for these responsibilities to grow and adapt over time.
We ideally need you to have the following on your CV:
Mandatory Skills
- Minimum of 1 to 2 years of relevant professional experience, preferably in a Big 4 firm.
Preferred Skills
- Qualifications: Minimum Bachelor’s degree from a reputable university with excellent academic results.
- Highly organized with an ability to multitask, to be flexible, proactive and prioritize and manage deadlines.
- Strong communication skills and has a problem solving, can-do attitude.
- Ability to work closely with audit engagement teams, and other CASU team members to ensure delivery of a seamless service.
- A strong sense of accountability and commitment to delivering a quality service.
- Willingness to learn new skills to support the team, and to take on responsibility for delegated tasks.
- A high degree of enthusiasm, adaptability, reliability, and flexibility
- Strong verbal (facilitation, phone servicing) and written (emails, internal/external correspondence) communication skills.
- Self-motivated, take initiative and provide solutions and alternatives.
- Collaborates and shares knowledge.
- Ability to work independently and unsupervised on day-to-day duties and tasks.
- Ability to pick up new systems quickly.
Your work will be varied. Here are some core responsibilities:
Process Management
- Liaise with CASU teams to ensure that all required information has been provided by audit engagement teams to allow for the effective performance of each task.
- Liaise with CASU team leaders to ensure that all tasks are assigned to the appropriate individuals and are performed on a timely basis to the required standard.
- Establish a robust system to monitor and ensure that the quality deliverables are provided by CASU.
- Ensure all timelines are clearly mapped, communicated and are achievable without delays with the assistance of the proactive calendar tool which will schedule all tasks for each engagement in a defined timeline.
- Provide project updates to the relevant stakeholders including Audit engagement team management and CASU management.
- Review task progress regularly to ensure that any issues identified are dealt with appropriately to maintain optimum process efficiency.
Workflow management
- Co-ordinate scheduling i.e. initializing the right work at the right time and triggering task allocations for audit engagement teams and CASU teams.
- Co-ordinate with audit engagement teams to ensure that information is effectively transferred to CASU on a timely basis to allow completion of centralized tasks at the scheduled time.
- Ensure proper processes and procedures are followed by CASU.
- Look for process improvements to reduce the seasonality of tasks and to improve efficiency in the process.
Your team
As the central point of contact between engagement teams and CASU, your role is pivotal in ensuring seamless collaboration and efficient communication between both groups. You will proactively monitor task progress, anticipate potential challenges, and coordinate the allocation and transfer of information to facilitate the timely completion of deliverables to the highest standard. By championing best practices and fostering a culture of accountability, you will help maintain process integrity, uphold agreed deadlines, and drive continuous improvement in workflow efficiency, ultimately ensuring that all stakeholders’ expectations are consistently met.
