Executive Assistant to the CEO
We are seeking an experienced and highly organised Executive Assistant or Secretary to provide dedicated support to the CEO of a fast-growing creative organisation. This role is ideal for someone who excels at building strong working relationships, communicates with clarity and confidence, and brings exceptional attention to detail to a dynamic environment.
Key Responsibilities
Primary Point of Contact: Act as the CEO’s first line of communication, managing emails, invitations, contracts, and correspondence. This includes drafting responses, advising on replies, or delegating tasks to ensure clear actions and outcomes.
Meeting & Event Coordination: Schedule, plan, and manage the CEO’s involvement in internal and external meetings, events, and conferences. Provide thorough briefings in advance, and attend meetings when needed to record decisions and track follow-up actions.
Action Tracking: Distribute meeting outcomes, ensure assigned actions are clearly understood, and monitor progress to completion.
Calendar Management: Oversee a complex and shifting calendar, resolving scheduling conflicts and organising meetings to balance new priorities with existing commitments.
Project & Review Oversight: Track and manage the CEO’s product or project review processes, ensuring timely feedback, approvals, and prioritisation.
Proactive Support: Anticipate the CEO’s needs and propose solutions based on upcoming commitments. Maintain an effective “bring-forward” system to keep tasks on schedule.
Administrative Duties: Handle expenses, credit card reconciliations, and detailed travel planning.
Information & File Management: Organise and maintain paper and digital filing systems with accuracy and care.
Office Coordination: Take the lead on office-related matters, liaising with facilities or service providers as needed and coordinating internal administrative requests such as leave management.
Qualifications:
We are looking for someone who is:
Relationship-Focused: Skilled at building positive professional relationships that support the CEO’s workload and effectiveness.
A Strong Communicator: Confident in both written and verbal communication, able to represent the CEO’s office with professionalism.
Tech-Savvy: Highly proficient with digital tools, with the ability to troubleshoot IT issues. Experience with platforms such as Google Workspace and project management systems (e.g., Monday.com or similar) is a strong advantage.
Highly Organised: Exceptional at structuring workflows, managing deadlines, and ensuring the CEO’s goals are met.
Proactive & Self-Motivated: Able to work independently, prioritise multiple demands, and manage pressure effectively.
Collaborative: Works well with colleagues and external partners to help achieve organisational objectives.
Experienced: Brings at least 2–3 years of experience in a similar role, ideally within a small business, publishing, or creative environment.
