Johns Hopkins Aramco Healthcare, Saudi Arabia are currently seeking an Executive Secretary

To play a vital role in supporting high-level executives by managing their schedules, communications, and other administrative tasks. Here are the key requirements commonly expected for this role:

1. Educational Qualifications

- Minimum: a bachelor’s degree in business administration, office management, or a related field.
- Certifications: Professional certifications, such as Certified Administrative Professional (CAP) or Executive Assistant Certification, may be preferred not mandatory.

2. Experience

- Years of Experience: Typically, 5-10 years in an executive Secretary role, with some experience in a leadership or executive setting.
- Industry Experience: Experience in the healthcare industry as the company can be beneficial, especially in understanding specific terminologies and workflows is a plus.

3. Technical Skills

- Software Proficiency
- Document Management

4. Communication Skills

- Written and Verbal Communication: Clear and professional writing and speaking abilities for preparing reports, memos, and handling external communications.
- Interpersonal Skills: Ability to build strong relationships and communicate effectively with senior executives, staff, and external stakeholders.

5. Organizational and Time Management Skills

- Multitasking: Capable of managing multiple tasks, often under tight deadlines.
- Prioritization: Ability to prioritize tasks and manage time effectively to support the executive’s needs.
- Attention to Detail: Ensuring accuracy in scheduling, documentation, and all executive correspondence.

6. Problem-Solving Abilities

- Critical Thinking: Ability to anticipate needs and proactively address challenges before they arise.
- Decision-Making: Capable of handling confidential or time-sensitive decisions in the absence of direct oversight.

7. Confidentiality and Discretion

Handling Sensitive Information: Comfort with managing confidential and private matters, showing high levels of integrity and trustworthiness.

8. Adaptability and Flexibility

Dynamic Environment: Ability to adapt to changing priorities and work effectively in fast-paced or high-pressure environments.

9. Leadership and Initiative

While not typically in a managerial role, an Executive Secretary should be able to take initiative and be a self-starter, often stepping in to handle critical tasks when required.

10. Professionalism

Presentation: A polished and professional demeanor, as the Executive Secretary is often the first point of contact for clients or visitors.

Etiquette: Strong understanding of professional etiquette and business norms.
