We are looking for a highly organised and proactive Full‑Time Golf Events Administrator reporting to the Event Manager with prior experience in planning and supporting golf tournaments in Ireland, Scotland & UK, managing large‑scale group travel logistics, and coordinating a variety of ad hoc events throughout the year.

As a Golf Events Administrator, you will play a key role in supporting our Events Operation team, ensuring the smooth delivery of luxury golf travel experiences. You will manage supplier bookings, prepare client documentation, and maintain accurate records across our high‑volume systems. This role requires exceptional organisation, attention to detail, and the ability to remain calm under pressure during peak travel seasons.

Key Responsibilities

Supplier Booking & Coordination

- Manage bookings and confirmations for golf courses, hotels, transport providers, and restaurants.

- Log and maintain all supplier arrangements accurately in internal systems.

- Follow up on outstanding confirmations and maintain strong supplier relationships through clear communication.

- Process supplier payments via the booking system and issue client payment requests when required.

Document Preparation & Data Management

- Prepare, format, and issue client travel documents, including itineraries, vouchers, and welcome packs.

- Maintain accurate tour files, supplier contracts, and booking records.

- Verify all details before travel to ensure error‑free client experiences.

Operational & Administrative Support

- Provide day‑to‑day assistance to the events team with logistics, scheduling, and supplier liaison.

- Track invoices, payments, and supplier documentation in partnership with finance.

Office Administration

- Support general office duties, including ordering supplies, shipping travel materials, and maintaining internal records.

- Assist in preparing operational reports, statistics, and updates during busy periods.

Requirements

- Minimum 2 years’ experience in an administrative, logistics, or operations support role (ideally in travel, tourism, hospitality, or events).

- Proven ability to thrive in a high‑volume, deadline‑driven environment.

- Strong organisational, multitasking, and problem‑solving skills with exceptional attention to detail.

- Excellent written and verbal communication skills.

- Proficiency in Microsoft Office (Excel, Outlook, Word); CRM or tour management system experience is an advantage.

- Ability to work independently while contributing as part of a team.

- Familiarity with golf, luxury tourism, or Ireland’s golf destinations is a plus.
