About the Role:This is a dynamic and challenging opportunity for an organized individual with excellent communication skills, who thrives in fast-paced environments. The successful candidate will be the primary point of contact for visitors, clients, and internal stakeholders.
The role involves managing incoming and outgoing communications, coordinating logistics and inventory, maintaining the workspace, providing administrative support, and ensuring seamless service coordination.
Main Responsibilities:
- Communication Management: Directing calls, emails, and messages, while ensuring all correspondence reaches its intended destination.
- Logistics & Inventory: Overseeing the ordering process, issuing access to clients, and maintaining a well-stocked office environment.
- Workplace Maintenance: Ensuring common areas are welcoming, clean, and well-maintained.
- Customer Support: Liaising directly with clients to resolve queries and provide effective solutions.
- Service Coordination: Logging issues and arranging swift call-outs with contractors.
- Team Administration: Providing administrative support to managers and administrators, including preparing documents, notices, and meeting minutes.
- Meeting Support: Assisting with meeting preparations and providing essential administrative assistance during meetings.
- A minimum of 3 years' experience in customer-facing roles, with some administrative background.
- A proven track record of working in busy office environments, demonstrating strong multi-tasking and organizational skills.
- The ability to work under pressure, prioritize tasks effectively, and work independently.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
- Exceptional attention to detail and accuracy in work.
- Outstanding verbal and written communication skills in English are required.
