Job Description

We are seeking a highly skilled and organized Branch Operations Officer to join our team. This is a key role that will be responsible for providing exceptional customer service, supporting the branch manager with operational activities, and ensuring the smooth running of the branch on a daily basis.

The successful candidate will be responsible for dealing with incoming phone calls, emails, and queries relating to the branch, arranging viewing appointments, market appraisals, and viewing times. They will also be responsible for ensuring timely responses, recording details accurately on the relevant file, and monitoring messages and tasks on Agency Cloud.

Key Responsibilities:

  • Provide an excellent level of customer service
  • Support the branch manager with operational activities
  • Deal with incoming phone calls, emails, and queries
  • Arrange viewing appointments, market appraisals, and viewing times
  • Ensure timely responses and accurate record-keeping
  • Monitor messages and tasks on Agency Cloud
  • Prepare Terms of Engagement and compliance documentation
  • Oversee board orders and prepare content for publications
  • Publish weekly On View times through web portals
  • Update window displays and display screens
  • Ensure charges are correctly inputted on Agency Cloud
  • Request invoices, balancing/transfer accounts, and deposit refunds
  • Review Debtors overspend report and provide feedback
  • Liaise with Accounts Department for correct allocation of pre-paid advertising and buyer deposits
  • Process credit card payments through Sage Pay
  • Monitor and manage petty cash
  • Support the branch in preparation for Saturday viewings
Requirements

To be considered for this role, you will need to have:

  • Minimum 2-3 years previous administration experience
  • Proficient knowledge of MS Office, particularly Word and Excel
  • Excellent telephone, customer service, and communication skills
  • Excellent interpersonal skills, ability to multitask, and meet deadlines
  • Highly motivated with strong attention to detail
