Job Title

We are seeking a highly organized and detail-oriented Project Coordinator & Scheduler to join our team.

The ideal candidate will have excellent communication skills, be able to work effectively in a fast-paced environment, and possess strong organizational and multitasking abilities.

This role requires the ability to coordinate project logistics, manage technician schedules, and support the project team with administrative and operational tasks.

The successful candidate will bridge communication between project management, field teams, clients, and vendors to ensure timely, budget-conscious, and high-quality project delivery.

Key Responsibilities
  • Support Project Managers in day-to-day project activities, documentation, and reporting.
  • Maintain and update project documentation, including change orders, and submittals.
  • Track and communicate project milestones and deliverables to internal teams and clients.
  • Assist with procurement tracking and ensure timely delivery of equipment and materials to job sites.
  • Coordinate with subcontractors and internal departments (e.g., sales, engineering, service) to ensure project alignment.
Scheduling
  • Create, update, and manage installation and technician schedules across multiple projects.
  • Assign the appropriate technical resources to projects based on scope, location, and required skillset.
  • Monitor resource availability and adjust schedules in response to project changes, delays, or resource conflicts.
  • Coordinate with warehouse and logistics teams to align technician schedules with material delivery timelines.
  • Send daily or weekly technician dispatch summaries and job prep documentation.
Communication & Client Support
  • Act as a central communication point between clients, project managers, and field teams.
  • Schedule and coordinate client meetings, site walks, and punch list closeouts.
  • Ensure clear communication of project scope, schedule, and updates to all stakeholders.
Required Skills & Qualifications
  • Proficiency in scheduling software (e.g., Smartsheet, Microsoft Project, Asana, etc.).
  • Experience with ERP or project management tools (e.g., NetSuite, Salesforce, Procore).
  • Strong Excel and Google Sheets skills for custom scheduling, reporting, and tracking.
