Accounts Assistant Job Description

The primary function of this role is to oversee and document income and expenditure transactions. This involves analyzing transactions by cost centre and entering financial data into a computerized accounting system.

Key Responsibilities:
  • Invoices: Receive and circulate suppliers' invoices to appropriate personnel for approval, coding invoices to the correct general ledger expense and cost centre accounts and inputting the data to the computerized accounting system.
  • Mileage/Expenses Claims: Receive and code employees' monthly expense claims to the correct general ledger expense and cost centre accounts and inputting the data to the computerized accounting system.
  • Payments: Prepare electronic funds transfers and obtain signatures in accordance with bank mandates, prepare creditors file for BACS payment run and maintain creditors ledger following up on any outstanding invoices/payments.
  • Lodgements: Prepare lodgement, process receipts of cheques, cash etc., enter on spreadsheet and accounts package and lodge to the bank account.
  • Petty Cash: Receive and code petty cash summaries to the correct general ledger expense and cost centre accounts and inputting the data to the computerized accounting system.
  • Income Invoices: Generate income invoices as requested by managers.
  • Nominal Journals: Generate nominal journals from Excel spreadsheets (e.g., Banking, Lease, Rent Schedule, Energia, Eircom).
  • Maintain 2 DSP Schemes - making claims to DSP & updating spreadsheets accordingly.
  • Banking: Enter DD payments, receipts & grants income from the account onto spreadsheet & accounts package; monthly record all movement on other bank accounts by nominal journal.
Required Skills and Qualifications:
  • A minimum of 1-2 years experience working in a busy accounts department, with specific AR/AP experience being an advantage.
  • Strong organizational and time management skills, as well as the ability to work effectively in a team and on own initiative.
