Project Coordinator and Scheduler Job Description

The role of Project Coordinator and Scheduler is pivotal in the successful execution of AV projects. This position bridges communication between project management, field teams, clients, and vendors to ensure timely, high-quality project delivery.

  • Support project managers with day-to-day project activities, documentation, and reporting.
  • Maintain and update project documentation, including change orders, and submittals.
  • Track and communicate project milestones and deliverables to internal teams and clients.
  • Assist with procurement tracking and ensure timely delivery of equipment and materials to job sites.

Scheduling Responsibilities:

  • Create, update, and manage installation and technician schedules across multiple projects.
  • Assign technical resources to projects based on scope, location, and required skillset.
  • Monitor resource availability and adjust schedules in response to project changes, delays, or resource conflicts.
  • Coordinate with warehouse and logistics teams to align technician schedules with material delivery timelines.

Key Communication Points:

  • Act as a central point of contact for clients, project managers, and field teams.
  • Arrange client meetings, site walks, and punch list closeouts.
  • Ensure clear communication of project scope, schedule, and updates to all stakeholders.

Required Deliverables:

  • Up-to-date technician and installation schedules (daily/weekly/monthly).
  • Detailed project timeline updates for internal review and client reporting.
  • Resource utilization reports (for labor planning and optimization).
  • Task completion checklists and project tracking dashboards.
