Administrative Coordinator

Vertex Roofing Systems is seeking a proactive and organized Administrative Coordinator to manage critical office operations and support the team in maintaining and optimizing Management Systems and Procore platform.
This role involves ensuring project data accuracy, coordinating resource planning, managing office activities, and contributing to the company's online presence.
Key Responsibilities:- Procore Management:
- Maintain the accuracy of all project-related data, drawings, and specifications uploaded to Procore.
- Ensure timely updates to project details and ensure accessibility of the most current documents.
- Collaborate with the Operations Director to manage and update the Resource Planner, allocating workers efficiently as project needs evolve.
- Office Management:
- Oversee daily office operations to ensure a productive and organized work environment.
- Facilitate task clarity among office staff and monitor progress on weekly priorities.
- Handle general administrative duties, including ordering supplies, scheduling meetings, and managing office communications.
- Online Media Management:
- Update the company's website with relevant news, project updates, and other content.
- Manage social media platforms, creating and scheduling posts to engage with the audience and reflect company values.
- Additional Responsibilities:
- Support senior staff with project coordination or data management as needed.
- Assist with compiling reports or presentations for internal or external use.
- Identify and implement process improvements to enhance office and project management efficiency.
- Strong organizational and multitasking abilities.
- Familiarity with project management software, ideally Procore (training can be provided).
- Excellent written and verbal communication skills.
- Experience with office management and/or administrative duties.
- Proficiency with Microsoft Office Suite and social media platforms.
- Ability to work independently and as part of a team.
