Project Coordinator Role

The ideal candidate for this Project Coordinator position will possess a proven track record in managing multiple projects simultaneously, with excellent communication and interpersonal skills.

  • Oversee the progression of projects from contract award to completion, ensuring timely delivery and maintaining a positive client experience.
  • Coordinate with internal stakeholders, including design and sales departments, to clarify technical specifications and ensure project alignment.
  • Manage project resources, equipment, and labour effectively, ensuring availability in accordance with project program.
  • Assess subcontractor suitability, verify training certificates, and ensure compliance with project requirements.
  • Utilize IT systems, such as Smartsheet or Microsoft Project, to track project plans and progress.
  • Ensure accurate financial management, understanding project finances, invoicing schedules, and variation approvals.
  • Collaborate with site teams to submit hours and allocate correct job numbers, utilizing TMS systems for efficient tracking.
  • Prepare detailed construction programs, scheduling, and update as necessary, managing RFI's where required.
  • Compile project-related documentation, including H+S plans, TOPs, and work permits, with assistance from project management support.
  • Communicate site hours and drawings to site crews, ensuring operational aspects are managed to achieve budget targets.
  • Comply with Health and Safety standards and company policies, ensuring a safe working environment.
  • Prepare weekly reports for project review, fostering open communication with clients and internal teams.
  • Closing punch list items, coordinating with site supervisors and project engineers, to deliver high-quality results.
  • Liaise directly with 3rd party inspectors and engineers on-site, facilitating effective communication.

Key Qualifications:

  • Proven experience in managing projects in similar environments, with at least 10 years' Project Management experience.
  • 3rd level qualification in a related field.
  • Customer-focused approach, providing solutions tailored to client needs and specifications.
  • Competence in Microsoft Office suite, including Microsoft Project and Smartsheet.
  • Strong interpretation skills for contract documents, programmes, drawings, and technical specifications.
  • Excellent interpersonal skills, building strong relationships with stakeholders.
  • Self-motivated, capable of managing multiple projects simultaneously.
  • Good knowledge of Site Health and Safety standards and Building Regulations.
