Service Parts Coordinator Role

This is a full-time Service Parts Coordinator position in North County Sligo. The Service Parts Coordinator will be required to support the Service Department by sourcing spare parts and providing day-to-day assistance, ensuring prompt and accurate customer service.

Key Responsibilities:

  • Liaise with service engineers to ensure customer needs are met
  • Issue quotes using SAP numbers stating price, terms of delivery, payment terms and quotation validity
  • Create project-specific spare parts packages
  • Process purchase orders from customers
  • Place orders with suppliers taking into account customer PO and warehouse demand
  • Prioritise orders for spare parts breakdowns
  • Verify items, prices, delivery dates, quantities and supplier order confirmation
  • Prepare and send order confirmations to customers with price, delivery dates, shipment mode, payment and delivery terms
  • Coordinate with suppliers, freight forwarders, accounts department and customers to arrange shipments
  • Check supplier invoices to ensure correct details are entered in SAP
  • Request invoices/credit notes from the accounts department
  • Arrange returns and replacements for defective items
  • Update spare parts information in the spares database system
  • Identify and escalate any errors (quantity & value) to line manager
  • Support the Service Manager with other tasks/projects as required
  • Greet customers in a courteous and friendly manner
  • Ability to work with multiple customers at once while maintaining individual customer satisfaction
  • Manage telephone transactions quickly and courteously
  • Identify valuable information that complements customer purchases
  • Assist customers with part identification and research in manuals/drawings

    Required Skills:

    • A strong personality for effective customer interaction
    • An understanding of best practices within a spare parts department
    • Strong time management, organisational and record-keeping skills
    • A self-motivated individual able to work independently
    • Proficiency in Microsoft Office
    • Proficiency in SAP Business Package
    • Fluent English communication skills, good phone manner and strong interpersonal skills are essential
