Job Description

The Project Administrator/Document Controller plays a vital role in supporting the client's requirements for highway infrastructure operations and maintenance.

Key Responsibilities
  • Document Management: Control of critical documents via a shared drive;
  • Reporting and Presentation: Drafting of reports and presentations for issue internally and externally;
  • Communication: Draft communications and correspondence to contractors;
  • Project Coordination: Compiling dashboards and liaising with contributions to meet deadlines;
  • Project Controls: Coordination and management of project controls/documentation;
  • Documentation Submission: Submission and tracking of project documentation including Task Orders, Reports, Letters, etc.;
  • Timesheet Management: Coordination and management of weekly timesheets;
  • Timely Completion: Following up with members of the team on internal and external deliverables and raising concerns on delays with the Commission Manager;
  • General Administration: General administration duties including filing, reporting, etc.;
  • Meeting Support: Attendance at project meetings, recording actions and the preparation of meeting notes;
  • Knowledge Management: Maintenance of a knowledge of the status of the project documentation at all times and reporting internally;
  • Contract Management: Support for the Commission Manager and effective management of contracts including progress reporting;
  • Liaison and Communication: Liaison with other teams and within the wider business and other key stakeholders;
  • Administrative Duties: Management of day-to-day administrative duties and ensuring processes are in place and kept up to date.
