Administrative Coordinator: Temporary Programs

We are seeking a highly organized and proactive professional to cover a maternity leave contract, providing comprehensive administrative support for program management.

About the Role:

The successful candidate will play a crucial role in supporting the Head of Programs and Faculty members with day-to-day administrative tasks.

Key Responsibilities:
  • Program Administration:
    • Manage academic classes and electives
    • Coordinate timetables, engage externs, and arrange payments
    • Assist with Capstone Project coordination, including proposal collation and student follow-up
    • Timetable management with the Facilities Manager
    • Student attendance and engagement management
    • Assignment submission management
  • Performance Components Administration:
    • Support performance components administration
    • Develop new processes and procedures
    • Accompanist allocation information
    • Manage Performing in Context electives
    • Masterclasses and Performance Spotlight payment processing
Requirements:

The ideal candidate will possess:

  • At least 5 years of experience in an administrative support role in higher education
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Excellent verbal and written communication skills, including attention to detail
  • Proficiency in Microsoft Office (SharePoint/Excel) and familiarity with student database management systems
  • Discretion when handling sensitive information
  • A collaborative mindset, with the ability to work effectively within a team
