Accounts Administrator Job Description

Main Responsibilities:

  • Perform daily banking operations and maintain accurate records of store receipts and payments.
  • Ensure all lodgments are ready for collection, maintaining a smooth process.
  • Maintain internal reports for monthly submission to Head Office, ensuring timely delivery.
  • Follow the refunds and credits procedure, keeping the refund summary report accurate.
  • Process admin payments onto the system in a timely manner, preventing delays.
  • Verify the accuracy of daily float bags by spot checking.
  • Report any tender discrepancies to the Administration Manager promptly.
  • Review the debtors reconciliation to ensure it balances and investigate any variances.

Key Tasks:

  • Filing and matching delivery dockets with supplier invoices when received.
  • Matching invoices to corresponding delivery dockets, ensuring price, product, and quantity match.
  • Running a prop approved report and checking to FAM report when received.
  • Checking stock adjustment periodic reports daily and accounting for cost adjustments/variances.
  • Actioning and completing supplier reconciliations by required time.
  • Processing error reports from Head Office immediately.
  • Raising and processing credit claims as required.
  • Preparing paperwork for the stock take financial result and month end submission.
  • Completing filing of store documentation as required and implementing relevant memorandums.
  • Undertaking other duties as outlined by your manager to fulfill your role as an Accounts Administrator.
