Job Title

We are seeking a highly skilled and organized Project Support Specialist to join our team. This is an exciting opportunity for someone who is passionate about providing exceptional support and ensuring the smooth operation of our projects.


Key Responsibilities
  1. Collaborate with the management team to provide accurate and timely data, ensuring that all project requirements are met within dedicated deadlines.
  2. Support the coordination of Business as Usual (BAU) project schedules, tracking work hours, budgets, and expenditures, and facilitating customer invoicing processes.
  3. Provide administrative assistance to management teams as needed, including organizing training, maintaining project records, and timesheet collation, while communicating effectively with project stakeholders to ensure their needs are met.
  4. Assist with purchase order processing and tender activities, and bid-operational tenders.
  5. Coordinate system file structures and permissions within SharePoint, and provide support on systems such as Salesforce and Eque2 to navigate management system environments.
  6. Ensure that health and safety documentation, project records, and training are up-to-date.
  7. Record meeting minutes and follow up on action items.
  8. Contribute towards identifying and implementing performance improvements, cost savings opportunities, and efficiencies to maximize customer and company revenue.
  9. Maintain business and client confidentiality, adhering to applicable Data Protection regulations and Information Security Standards in line with company policies and procedures.

Essential Skills and Qualifications
  • Experience in working on bids, tenders, and project delivery.
  • Strong organizational and time management skills.
  • Analytical abilities and problem-solving aptitude.
  • Excellent communication and customer-focused approach.
  • A high attention to detail with excellent literacy and numeracy skills.
  • Ability to thrive in a busy environment.
  • Ability to remain calm and professional under pressure to meet deadlines.
  • Excellent skills in CRM (Salesforce) or similar operating systems, including Microsoft 365 applications such as Excel, Word, and PowerPoint.
