The main mission of the position is to: Provide support in the management of intellectual property assets, specifically in the context of plant varieties, for a global licensing company.

MAIN DUTIES AND RESPONSIBILITIES

  • Create, update and maintain a comprehensive database of intellectual property, including patents, trademarks, licenses, agreements and related documentation.
  • Support the legal team and external partners to ensure timely and accurate completion of IP registration/filing processes.
  • Assist the IP registration process by managing powers of attorney, investor assignments and other required documentation.
  • Utilize and curate a Client Relationship Manager (CRM) system to update information on contacts and companies related to intellectual property.
  • Generate regular reports on the status of intellectual property, agreements, and other key aspects of the business.
  • Ensure that financial and reporting terms in licensing transactions are appropriately recorded on the IP management and other company systems.
  • Analyze trends and provide insights to support decision-making processes.
  • Liaise with internal departments, legal teams, and external partners to facilitate smooth communication and collaboration.
  • Identify opportunities for process improvement and efficiency in intellectual property management.

Application requirements:

  • Proven experience in similar administration roles, preferably in a role related to intellectual property.
  • Experience in creating and maintaining complex data records.
  • Knowledge of large organisation financial administration systems including processing invoices.
  • Academic qualification National Qualifications Framework (QQI) Level 6 or higher in a relevant discipline (i.e. Business Administration, Law, etc).
  • Excellent written and verbal communication skills in English (other languages are a plus, particularly Spanish or French). Timely, professional, helpful and courteous manner of communicating.
  • Proficient in Microsoft systems and knowledge on database management and CRM systems.
  • Ability to work independently and collaboratively in a team environment.
  • Ability for work flexibly and adapt to changing environments. Open to change and readily to adopt new approached such as new technologies and/or improved processes.
