We are seeking a proactive, highly organised, and meticulous Team Administrator to provide vital administrative and operational support to our Leadership Team. This role is central to ensuring the smooth day-to-day functioning of the team, allowing senior leaders to focus on strategic priorities. The successful candidate will be a confident communicator, a natural problem-solver, and someone who thrives in a fast-paced, dynamic environment.

The Team Administrator, reporting to the Chief of Staff (CoS) will work in partnership across multiple business functions simultaneously.

Responsibilities
  • Provide comprehensive administrative support to the leadership team, including diary management, meeting coordination, and travel arrangements.
  • Act as a central point of contact for internal and external stakeholders
  • Represent the Leadership Team (or individual) in welcoming guests and/or high profile clients to our global HQ
  • Support the preparation of reports, presentations, and other documentation as required
  • Maintain confidential records and handle sensitive information with discretion at all times
  • Support in the organisation of leadership off sites, team events, and ad-hoc projects as they may arise (deep partnership with Internal Communications and Facilities Management where required)
  • Monitor and manage team inboxes or shared platforms, ensuring timely responses and task follow-up where required (ie. Outlook, NAVAN etc)
  • Liaise with other administrative staff and departments to support cross-functional coordination internally within ESW, or across the parent company entities
Requirements
  • Proven experience in across functional multi customer administrative roles, ideally 2+ years in a similar role.
  • Excellent organisational and time management skills
  • Strong written and verbal communication abilities
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Slack, Zoom)
  • Ability to work independently, lead multiple tasks and deadlines, and prioritise optimally
  • A high level of professionalism, integrity, and discretion when handling confidential information
  • Strong attention to detail and a solution orientated approach to problem-solving
  • Effectively juggling priorities across different global time zones
