We are currently recruiting an experienced Team Administrator for a busy department supporting an onsite team based at Clancy Quay, Island Bridge, Dublin 8. The role involves a wide range of secretarial and administrative duties.

This is a dual role supporting both the Facilities Manager and Maintenance Team.

Key Responsibilities

Facilities Support Includes:

  • Oversee day-to-day monitoring of logging calls and emails.
  • Ensure all relevant information is organized, prioritise, and resolve requests.
  • Collect client feedback, escalate issues when necessary.
  • Manage paperwork, filing, and electronic records.
  • Review check sheets, log actions, and ensure timely completion.
  • Produce reports and analyze helpdesk data as needed.
  • Perform general office and administrative duties.
  • Coordinate and manage Planned Preventative Maintenance visits.
  • Support the Facilities Manager by maintaining reports and schedules.
  • Coordinate contractors' on-site activities and ensure contractor inductions.
  • Issue work permits and request RAMS for all works.
  • Assist with small projects and in-house event coordination.

Maintenance Support Includes:

  • Track incoming maintenance requests.
  • Manage contractors and track work completion.
  • Handle key management.
  • Liaise with Savills Property Managers.
  • Manage maintenance projects.
  • Handle conflict situations professionally.
  • Perform additional duties as required, including lease and inventory production, tenant query responses, viewing arrangements, liaising with Concierge, and maintenance instructions.
Skills, Knowledge and Experience
  • Experience in helpdesk or administrative roles is desirable.
  • Proficient in Microsoft Office and Building Link.
  • Team-oriented, proactive, and open-minded.
  • Highly organized with excellent attention to detail.
  • Strong interpersonal, written, and verbal communication skills.
  • Customer service skills under time pressure.
  • Ability to work independently and demonstrate flexibility.
  • Multitasking skills and professionalism.
  • Excellent problem-solving abilities.
