Overview

Project Administrator (Business Support) role at SYSTRA UK & Ireland. SYSTRA's specialists plan, design, integrate, test, commission, project manage and deliver mass transit and mobility solutions used by more than 50 million people daily. The group has over 60 years of experience in developing transport infrastructure with sustainability, accessibility and innovation at the core, employing over 10,300 colleagues globally and around 1,000 in the UK & Ireland. This is an exciting opportunity for an experienced business support and project administration professional with a proactive, "can do" attitude to join an immediate, fast-growing team based in Dublin.

Responsibilities
  • In compliance with SYSTRA and client policies and procedures, support administrative delivery of key projects, including provision of support to client teams and key business services areas.
  • Ensure that data captured accurately reflects site progress and that project information meets required data standards.
  • Provide assurance that key data meets the required level of information and acceptance criteria, supporting design and delivery teams when needed.
  • Provide general business support on site including onboarding/offboarding activities and meeting management.
  • Implement document control procedures and ensure site supervisory teams have access to current documents.
  • Work collaboratively with Design and Build Contractors to ensure they provide the necessary data to the client.
  • Provide reliable and comprehensive administrative support to a busy project team.
  • Maintain records and databases, set up filing systems and manage daily operations.
Profile / Skills
  • Significant experience in business administration; ideally experience in infrastructure project environments or projects of similar scale and complexity.
  • Desirable: secretarial support to management in fast-paced environments; administrative support and organisation to senior leaders; ability to deliver under time pressure with conflicting priorities; take ownership of activities to drive outcomes.
  • Desired Skills:
  • Fully proficient in MS Office and other project tools and methodologies.
  • Excellent communication and interpersonal skills.
  • Ability to govern and drive outcomes for high-quality service delivery; resolve unforeseen risks and issues.
  • Ability to take a holistic overview, prioritise effectively, meet deadlines and deliver consistent service.
  • High attention to detail; manage client expectations within agreed parameters; initiative-taking; adapt to fast-changing environments; plan and work under pressure.
Formal Education
  • Ideally a bachelor's degree in a relevant subject.
