SYSTRA are immediately hiring a Project Administrator (Business Support) who will join a fast growing team focused on key client delivery based in Dublin. The role assumes responsibility for providing business administration, support services for the project team and client site services to assist in the day-to-day functional activities. The role holder will enable the business by ensuring all data and administrative matters are dealt with professionally and timeously.
This is an exciting opportunity for an experienced business support and project administration professional with an initiative-taking "can do" attitude and proven experience in supporting teams through implementing efficient and quality support practices.
Missions / Main Duties- In compliance with SYSTRA and client policies and procedures you will support administrative delivery of key projects, including the provision of support to the client teams and key business services areas.
- Ensure that data captured accurately reflects site progress and that project information meets required data standards
- Provide assurance that key data meets the required level of information and acceptance criteria, supporting the design and delivery teams in meeting requirements for data where necessary
- Provide general business support on site including onboarding / offboarding activities and meeting management
- Implementing document control procedures and ensuring site supervisory team have access to current documents
- Work collaboratively with Design and Build Contractors to ensure that they provide the necessary data to the client.
- Provide reliable and comprehensive administrative support to a busy project team.
- Maintain records and databases, set up filing systems and manage daily operations.
- Significant experience in business administration and ideally experience in infrastructure project environments or projects of a similar scale and complexity.
- Further demonstrated experience and knowledge in: providing secretarial support to management within fast paced and challenging environments; providing administrative support and organisation to senior leaders; delivery of work under time pressure and with conflicting priorities; taking ownership of activities to drive desired outcomes.
- Fully proficient in the use of MS Office applications and other project tools and methodologies.
- Excellent communication (both verbal and written) and interpersonal skills.
- Ability to govern and drive outcomes to ensure high quality service delivery.
- Ability to deal with and resolve unforeseen risks and issues.
- Ability to step back from the detail and take a holistic overview.
- Ability to prioritise effectively, meet deadlines and deliver consistent service.
- High level of attention to detail.
- Ability to manage client expectations and deliver within agreed parameters;
- Initiative-taking and able to use own initiative.
- Able to cope with demands of a fast-changing environment.
- Ability to plan, work well under pressure and meet deadlines reliably.
Ideally a bachelor's degree in a relevant subject.
