Job DescriptionJob Title: Receptionist
Company: EHS International
Reports to: Training Co-ordinator
The Receptionist greets, welcomes, and directs visitors. They coordinate front-desk activities and perform administrative tasks assigned by the Training Coordinator.
Responsibilities:- Serve as the first point of contact for clients, trainers, and visitors.
- Answer calls, queries, and direct to relevant personnel.
- Update the call log with all received and made calls.
- Ensure training rooms are equipped for each session.
- Prepare paperwork for upcoming training sessions.
- Contact trainers before sessions to confirm requirements and follow up.
- Contact attendees prior to courses to confirm attendance and provide details.
- Scan and send paperwork to the Training Coordinator after courses.
- Manage catering needs for attendees and trainers.
- Process monthly stationery orders.
- Issue weekly reports to the manager.
- Book meeting and training rooms via Outlook Calendar.
- Issue temporary invoices to Accounts.
- Issue Safe Pass Cards, PHECC Certificates, etc., after processing.
- Perform other general office duties as needed.
Experience: Administrative experience required.
Location: IFC House, Fashion City, 23 Ballymount Road Upper, Kilnamanagh, Co. Dublin, D24 PD6H
RequirementsSkills & Qualifications:
- Excellent verbal and written communication skills.
- Experience with MS Office applications.
- Strong administrative and organizational skills.
- Knowledge of relevant quality standards (e.g., ISO9001).
- Ability to work collaboratively across teams.
- Flexibility regarding working hours to support training schedules.
- Previous experience in a busy office environment.
- Ability to work under pressure and manage time effectively.
- Friendly, empathetic, and effective communicator with clients and colleagues at all levels.
