Job Function The Executive Assistant (OneLearning) will play a key role in ensuring the efficient and effective delivery of concurrent online training sessions within the Learning Solutions Team. They will coordinate and administer training activities through the Learning Management System (LMS), IPA Moodle, and other systems as required, while delivering excellent customer service to learners and stakeholders. They will report to the OneLearning Service Delivery Supervisor. Key Responsibilities Training Coordination Schedule courses on the OneLearning LMS and other platforms as required. Maintain accurate and up-to-date course scheduling data on spreadsheets and/or the LMS. Provide course session logistics (e.g., attendance sheets, billing details, venue details) to key stakeholders, adhering to Service Level Agreements (SLAs) and GDPR requirements. Administer and update student attendance records. Oversee the administration of course sessions, ensuring all relevant documentation and processes are completed. Team Collaboration Work collaboratively with a team of Service Delivery Administrators to ensure the smooth running of multiple concurrent Instructor-Led online training sessions. Share best practices and support team members in achieving common goals. Customer Service and Helpdesk Support Deliver outstanding customer service by responding promptly and professionally to learner inquiries. Provide helpdesk support for learners, resolving issues and escalating as necessary. Liaise with relevant stakeholders, including L&D business partners, to coordinate and manage training sessions effectively. Communicate session details, resolve queries, and ensure alignment with organizational requirements General Any other duties that arise from time to time as directed by the supervisor, manager or nominee. About the ideal candidate Qualifications Minimum Leaving Certificate standard of education or equivalent. (Essential) Knowledge An understanding of the role and objectives of the Institute. Proficiency in Microsoft Office (essential). Experience Minimum one years experience in an administrative role (essential). Experience with Learning Management Systems, Customer Relationship Management systems, HR Management Systems or other similar systems (desirable). Experience in dealing with customers in a friendly and professional manner. Skills Demonstrated ability to learn new technologies (essential). Excellent telephone manner. High standard of written English suited to writing emails and content for website or programme description documents.
