Meals on Wheels Administrator (Part-Time, 20 Hours per Week) Primary Location:Sybil Hill Road, Dublin 5. Salary:€15.50 per hour (gross). Hours:20 hours per week, normally 10am2pm Monday to Friday (flexibility required). About the Role We are seeking a motivated and detail-oriented Meals on Wheels Administratorto join our team. This role is vital in supporting the smooth daily operation of our Meals on Wheels service, ensuring clients receive nutritious meals and quality service while maintaining accurate records and communication with drivers, volunteers, and management. Key Responsibilities Monitor meal deliveries and update the OneTouch (tele-monitoring) system with any changes. Liaise with volunteer and NHCS drivers regarding delivery issues and resolve promptly. Make follow-up calls to clients when required and update client histories on OneTouch. Maintain accurate written and electronic client records, reports, and progress notes. Provide timely reports to the Meals on Wheels Manager/Assistant Manager. Follow up on referrals promptly and forward to relevant staff. Assist with coordination between kitchens and manage daily meal orders when needed. Act professionally and report incidents or issues immediately to management. Handle all client data confidentially in accordance with GDPR and Data Protection policies. Provide cover for the Meals on Wheels Coordinator or the Assistant Manager or when required. Daily Responsibilities Check emails and the Meals on Wheels phone for messages each morning. Start new client services immediately upon approval. Deal with any client complaints promptly and report to management. Contact next of kin (NOK) in emergencies. Record and log all messages accurately. Perform other administrative duties as assigned by management. Driving Duties (as required) Deliver meals to clients and collect food from suppliers or kitchens. Assist with errands, shopping, and event deliveries. Maintain cleanliness of the company vehicle and complete documentation after each use. Hold a full, clean drivers licence. Requirements FETAC/QQI Level 5 in Business Administration or equivalent qualification is required. At least 1 years experience in a comparable administrative role, demonstrating strong organisational skills and the ability to meet deadlines in a busy, client-focused environment. Excellent communication and telephone skills. Strong computer literacy (MS Word, Excel, Outlook; database experience an advantage). Proven ability to meet deadlines in a busy environment. Attention to detail and ability to maintain confidentiality. Fluent in written and spoken English. Garda clearance and reference checks required. HACCP training desirable (training can be provided). Valid visa and right to work in Ireland (if applicable). Additional Information Flexibility in working hours is required, including occasional mornings, evenings, weekends, and public holidays as needed. Staff are expected to dress appropriately and adhere to NHCS policies and procedures. Participation in regular performance and development reviews is required. Interested?
