The National Maritime College of Ireland (NMCI) is a constituent college of Munster Technological University (MTU). The Department of Maritime Studies is the MTU academic department of NMCI. NMCI is Irelands national and only institution for the education and training of maritime professionals including professional civilian and naval seafarers. NMCI has been involved in educating supply chain professionals for the southwest region for many years. A public sector institution, NMCI has a mandate to strategically meet the maritime and related education, training, research and innovation needs of the Irish state and its citizens, to support the economic and social growth of the Irish nation, and to enhance Irelands reputation in the maritime world. NMCI is one of the few public-sector HEIs nationally that holds ISO9001-2015 certification. The NMCI is situated on a dedicated campus in Ringaskiddy, of lower Cork Harbour. The Staff Officer will be required to undertake and provide support in a number of organisational and administrative functions. The role will involve regular interaction with students, academic and administrative staff, the NMCIs Maritime Liaison Office, NMCIs commercial partners support staff, and external parties such as managerial and support staff of the Department of Transport and the Irish Naval Service of the Department of Defence. The position is based on the NMCI campus in Ringaskiddy, The appointee will report to the Head of Department of Maritime Studies and will also work with the Head of School as relevant. Main duties and responsibilities will include but not be limited to: Organisation of Seafarer Discharge book applicationsto the Mercantile Marine Office of the Dept. of Transport, checking details of received Seafarer Discharge Books and responsible for release of seafarer discharge book from NMCI. Liaise with NMCIs Maritime Liaison Office regarding student placement for release of discharge books, and tracking of students expected return dates. Tracking of students on work placement, keeping up to date lists of contact details, and process registration forms for students returning for final year of academic study. Liaise with Head of Department regarding placement, student registration and student applications. Process applications and registrations for both academic and professional courses including registrations of STCW courses using the Content Management System. Processing of bank card payments for Senior Course Fees, Training Record Books, Department of Transport written examinations and otherssuch as GMDSS. Liaise with Irish Naval Service, commercial partners and Facilities Management Company regarding spaces and room bookings. Involvement in QA process for printing and issuing to all undergraduate students of numerous internationally recognised short certificates. Involvement in, and support NMCIs QMS and ISO9001:2015 audits. Support reviews of processes contained within NMCIs QMS. Organisation of NMCIs Open Day and Maritime Advisory Sessions. Assist with course promotion and information sessions. Prepare CAO information packs for posting to CAO applicants. Compilation of information for Programmatic Review, Institutional Review including Examiners reports and Course Board material. Assist with Module Exam Board meetings (MEBs) and Progression and Award Board meetings (PABs) as required. Assist with drafting minutes of meetings as required. Assist in organisation of NMCI Award Ceremonies. Support annual asset tag checks. Liaise with Head of Department regarding both MTU and Department of Transport Exams. Liaise with EQUANS (facility management company) reception desk. Liaise with MTU admissions office. Liaise with MTU fees office. Update Student Record System as required. Enrolstudents on programmes/modules as required. Attend to NMCI student queries and prepare student letters as required. Assistance with queries from prospective students, graduates, and other external parties. Assist with review of promotional material and CAO handbooks for programmes. Managing Springboard and Skillnet Applications in liaison with programme Coordinators. The successful candidate will have minimum qualifications and experience as follows: Essential Have obtained at least Grade D3 (H6/O6) in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent OR have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher OR have appropriate relevant experience which encompasses equivalent skills and expertise. A satisfactory understanding of the overall workings and policies of the University. Proficiency in the use of information and communication technologies including the Microsoft Office Suite, particularly MS Word, Outlook, Excel and MS Teams. Strong attention to detail and accuracy. Excellent organisational skills. Excellent interpersonal skills. Ability to maintain discretion & data confidentiality at all times. Ability to work effectively and independently on own initiative and in a team environment. Willing to develop new skills as may be required by the role. Have the requisite knowledge, skills and competencies to carry out the role. Desirable: Third level qualification from a recognised awarding authority or studying towards same. Experience of working in the Maritime or Higher Education environment. Demonstrable knowledge and understanding of the Maritime landscape. Terms of the Appointment: Salary Scale Grade V: €51,723.00 - €61,863.00 pa including two long service increments (LSIs are paid after 3 years). Fixed-term, whole-time up to 6 November 2026 35 hours per week. Annual leave: 25 days per annum.
