Branch Operations Officer Job Opportunity

This is an exciting role for a skilled professional to manage the daily operations of a branch.

Job Description:
  • Provide exceptional customer service, representing the company's values in all dealings.
  • Support the branch manager with operational activities to ensure efficient branch management.
  • Deal with incoming phone, email, and online queries related to the branch, including arranging viewing appointments and market appraisals.
  • Ensure timely responses and accurate recording of details on relevant systems.
  • Monitor messages and tasks, actioning as necessary.
  • Confirm appointments on relevant systems.
  • Prepare Terms of Engagement and compliance documentation in advance of properties being made available.
  • Oversee board orders, ensuring inclusion of all necessary items.
  • Publish content for in-house publications within given deadlines.
  • Order photos and download to relevant property files.
  • Prepare and order in-house brochures using brochure creation platform.
  • Publish weekly On View times through web portals.
  • Update window displays and display screens in branch.
  • Ensure correct inputting of charges relating to properties on relevant systems.
  • Request invoices, balancing/transfer accounts, and deposit refunds.
  • Review Debtors overspend report and provide feedback.
  • Liaise with Accounts Department to allocate pre-paid advertising and process buyer deposits.
  • Process credit card payments and cheques, saving to relevant systems.
  • Monitor and manage petty cash and submit receipts to Accounts.
Requirements:
  • Minimum 2-3 years previous administration experience.
  • Proficient knowledge of MS Office, particularly Word and Excel.
  • Excellent telephone, customer service, and communication skills.
  • Excellent interpersonal skills, good multitasking ability, and meeting deadlines.
  • Highly motivated with strong attention to detail.
