Business Operations Specialist

We are seeking a proactive Business Administrator to support our Director of Care/Service Manager.
Key Responsibilities- Coordinate meetings, manage diaries and communications, maintain records and compliance, schedule mandatory training, and deliver clear KPIs/dashboards that help our services run safely and effectively.
- Manage agendas, minutes, and action logs for internal and external meetings; book appointments and manage executive diaries.
- Produce reports and dashboards to track performance; support audits and maintain inspection reports and registration certificates.
- Coordinate training schedules to statutory timeframes; facilitate portal returns and handle complaints.
- Maintain records and archives in line with GDPR standards; handle phones, post, and visitors; manage petty cash.
Draft documents, presentations, and conduct research for the Director of Care/Service Manager. Ensure strong communication skills, attention to detail, and excellent organizational abilities.
Requirements- QQI Level 5/6 qualification in Office/Business Administration or equivalent.
- Proficiency in Microsoft 365 (Outlook, Teams, SharePoint); Excel skills required, including formulas, lookups, and pivots.
- Strong Word and PowerPoint skills; experience in records management and Freedom of Information basics is essential.
