Job Overview

Key Responsibilities:
  • Provide warm welcomes and efficient assistance to clients, visitors, and employees, setting the tone for their visit or stay.
  • Manage front-of-house operations, including sign-in, badging, luggage handling, lost and found, and deliveries with precision and courtesy.
  • Process and direct telephone, email, and other inquiries with accuracy and efficiency, ensuring timely responses to queries.
  • Expertly greet, assist, and direct candidates, new hires, visitors, and the general public, upholding the highest standards of professionalism and courtesy.
  • Remain vigilant and proactive in maintaining awareness of all onsite events, tailoring the visitor experience to meet the unique needs of each individual or group.
  • Maintain impeccable presentation and functionality standards across designated front-of-house and meeting/event areas, demonstrating a keen eye for detail and a commitment to excellence.
  • Assist in the setup of meeting and event spaces according to established guidelines and safety protocols.
  • Conduct thorough monitoring of meeting room environments, including furniture, signage, equipment, temperature, fabric, and consumables, ensuring that every aspect is meticulously maintained.
  • Maintain up-to-date room booking systems (Outlook, conference room finder, SharePoint) for identified meeting and event spaces, guaranteeing seamless planning and execution.
  • Stay informed about local amenities and services (shops, restaurants, hotels, transportation) to provide valuable recommendations and support to clients.
  • Engage in daily liaison with one-team partners (security, janitorial teams) on coordination of meetings and events, fostering a spirit of cooperation and collaboration.
  • Deliver timely, accurate, and personalized responses to meetings and events inquiries, showcasing exceptional customer service skills.
  • Display flexibility and adaptability when working in diverse settings as part of a cohesive team.
  • Coordinate the daily updating of room booking displays, adhering to local and regional procedures.
  • Play a pivotal role in supporting onsite space audits and walk-the-store processes, contributing to ongoing improvement and growth.
  • Offer assistance and cover other facilities team services as required, including troubleshooting, mail services, courier duties, site inspections, and administrative tasks.
