Procurement Systems Administrator Role

We are seeking a detail-oriented and technically proficient individual to support our Procurement Digital and Data Manager in maintaining and optimizing procurement systems.

This role will be responsible for day-to-day administration, providing user support, managing tickets, ensuring data integrity, supporting workflow creation and amendment, and assisting with technology vendor management.

The successful candidate will play a crucial role in keeping our digital procurement ecosystem running smoothly and efficiently.

Key Responsibilities
  • Administer and support procurement systems, including e-sourcing, e-procurement, and contract management tools.
  • Manage user access controls, creating new user accounts, modifying permissions, and deactivating accounts as needed.
  • Monitor system performance, troubleshoot issues, and escalate complex problems to the Procurement Digital and Data Manager or IT department.
  • Perform regular system maintenance tasks, such as data backups, updates, and patches.
  • Provide first-line support for user inquiries and resolve tickets in a timely and professional manner.
  • Train users on effective procurement system usage and ensure data accuracy and integrity within these systems.
  • Assist with data uploads, imports, and exports as required.
  • Collaborate with the Procurement Digital and Data Manager to create, document, and improve procurement workflows within systems.
  • Test and validate new or updated workflows to ensure they function correctly and meet business requirements.
  • Manage relationships with technology vendors, coordinate communication for issue resolution and system updates, and track vendor performance.
  • Maintain up-to-date documentation of system configurations, processes, and user guides.
Requirements

To be successful in this role, you should have:

  • At least 3 years of experience in system administration or IT support, preferably within a procurement, finance, or supply chain environment.
  • Familiarity with procurement and finance platforms or similar enterprise systems.
  • Technical systems skills, including user access management and ticketing systems.
  • Excellent problem-solving and troubleshooting abilities.
  • Strong communication and customer service skills.
  • Attention to detail and high accuracy.
  • Ability to work independently and as part of a team.

Additional qualifications, such as basic understanding of procurement processes or experience with workflow management, are beneficial but not required.

A strong ability to build and maintain relationships with key stakeholders is essential for success in this role.
