Job Title:

Collections Manager

Key Responsibilities:
  • Accurate Invoicing: Generate and process debit notes using the internal system, ensuring timely and accurate billing to customers.
  • Financial Reconciliation: Regularly reconcile billing processes to guarantee invoicing accuracy and consistency.
  • Invoicing Efficiency: Match, scan, and email invoices to customers in a timely manner, maintaining high standards of customer service.
  • Customer Communication: Respond promptly to customer queries, addressing concerns and providing solutions in a professional and courteous manner.
  • Billing Cycles: Manage monthly billing cycles, including consolidated invoices for key customers, ensuring seamless financial operations.
  • Invoice Generation: Create and post invoices using Sage accounting software, adhering to company guidelines and best practices.
  • Debt Collection: Conduct follow-ups with customers to secure timely payment of outstanding invoices, minimizing debt and maximizing revenue.
  • Document Management: Upload invoices and related documents to customer-specific online portals, maintaining accurate and up-to-date records.
  • Customer Relationships: Develop and maintain strong relationships with customers, supporting debt recovery efforts and fostering long-term business partnerships.
Requirements:
  • Technical Proficiency: Proficient in Microsoft Office, particularly Excel (pivot tables, formulas, data formatting), and experience with accounting or ERP systems (e.g., Sage).
  • Data Entry Skills: Comfortable with high volumes of data entry and maintaining accuracy under pressure, with strong problem-solving skills and ability to work independently.
  • Communication Skills: Excellent communication and interpersonal skills, with a collaborative team player approach, adapting to fast-paced environments and meeting tight deadlines.
  • Attention to Detail: Meticulous attention to detail and strong numerical ability, with a self-starter approach to learning and continuous improvement.
  • Experience: 1–2 years' experience in a similar administrative or accounts role is required, with previous experience in the car rental or consumer rental sector being a distinct advantage.
