Job Description

The Administration Support Specialist will be responsible for:

  • Responding to telephone inquiries and providing assistance to callers.
  • Replying to all emails received, offering support where necessary.
  • Retrieving and sending mail to members worldwide.
  • Updating the company website by posting news, feis section content, etc.
  • Maintaining the database by updating information as required.
  • Assisting new members with registration and processing registrations.
  • Processing payments via the online terminal, issuing receipts and invoices.
  • Liaising with the Examinations Authority Chair regarding various duties.
  • Meeting with reception staff to address office representative needs.
  • Lodging money into the CLRG account.
  • Tracking stock levels for upcoming exams, including Grade/ADCRG/TCRG/TMRF Diplomas, etc.
  • Filing and organizing records kept in the CLRG office.
  • Maintaining files for recording purposes, such as lodgements, upcoming exams, newly registered teachers, etc.

Event-Oriented Duties

  • Ensuring continuous updates on relevant event information on the website.
  • Supporting teachers with their online entries (if necessary).
  • Creating ID cards for competitors.
  • Sending ID cards to teachers worldwide.
  • Fielding phone calls from attendees and ensuring they have required information on rules, syllabi, hotels, etc.
  • Providing assistance during events, addressing queries, complaints, etc.
  • Creating ID cards for competitors.
  • Performing general front-of-house duties when interacting with the public.
  • Completing any matters that could not be addressed during the event upon return to office hours.
  • Supporting teachers/adjudicators with registration renewal, particularly those struggling with computers.
  • Setting up new teachers on the CLRG database.
  • Creating ID cards for teachers/adjudicators.
  • Organizing literature sent to CLRG members worldwide.
  • Compiling and sending packages to CLRG members worldwide.
  • Assisting teachers/adjudicators having difficulty re-registering online.

Examination Administrator Role

  • Processing applications for ADCRG/TCRG/TMRF exams.
  • Maintaining correspondence with candidates for upcoming exams.
  • Providing prospective candidates with essential information on scheduling, syllabi, and other preparatory materials.
  • Keeping exam files up to date, ensuring necessary panel quotas are met.
  • Liaising with the Examinations Authority Chair regarding upcoming exams – panel allocation, venue details, referring queries when necessary.
  • Liaising with Team Leaders for exams – organizing numbers, providing necessary details, avoiding conflicts/associations.
  • Sending candidates their timetables for exams.
  • Referring necessary correspondence to the Examinations Authority Chair for CLRG meetings.
  • Compiling and maintaining data in Excel programs for export when necessary.
  • Updating the exam result database following each examination.
  • Filing and updating repeat candidate folders.
  • Sending results to candidates after ratification.
  • Supporting candidates requiring repeat sections of examinations.
  • Filing and organizing paperwork returning from exams.
  • Ensuring exam documents, materials, and syllabi are up to date.
  • Preparing examination packs for prospective candidates containing relevant information for exams.
  • Arranging shipment of materials to examination centers – exam documents, booklets, medals, etc.
  • Sending grade examination documentation to examiners and teachers needing it.
  • Liaising with relevant staff regarding grade exam applications, accounts, results, and conditional/temporary registered teacher assessments.
  • Liaising with the CLRG Vetting Officer.
