Job Overview
The role of the Facilities Maintenance Coordinator is a critical component of our organization's operational success. This position plays a vital part in ensuring the maintenance activities are scheduled, tracked, and completed to prevent breakdowns and ensure compliance with safety and operational standards.
Key responsibilities include managing and maintaining reactive and planned maintenance schedules based on asset types, manufacturer guidelines, and legal requirements through Maximo System.
Scheduling Activities
Our ideal candidate will be responsible for scheduling works to minimize disruption to operations. This includes assigning reactive and planned maintenance work orders in the Maximo system, tracking job progress and completion status, and ensuring subcontractors or in-house teams are assigned based on skillset as per the Service Desk Manual on SharePoint.
Asset Management
They will also be responsible for maintaining a detailed and up-to-date asset register, reviewing what assets are linked to PPM tasks and ensuring each asset has the correct maintenance frequency. They will monitor the condition of critical assets and escalate concerns through maintenance reports and remedial works.
Collaboration and Communication
In addition, the Facilities Maintenance Coordinator will liaise with external service providers to create and manage shared calendars of PPM schedules, schedule visits, and ensure access. They will obtain service reports, job cards, and certifications on Client SharePoint and Maximo.
Required Skills and Qualifications
This role requires strong accuracy and attention to detail skills, logical thinking, and excellent PC knowledge. Familiarity with CAFM systems and scheduling tools is also required. The ideal candidate will have 2-4 years of experience in a technical FM business including reactive, PPM operations, compliance, and H&S Management.

The successful candidate will be a team player who enjoys collaborating with people and has the ability to interact and communicate effectively with colleagues, engineers, contract and performance managers, and third-party suppliers.
