Due to continued growth within our business we are looking for a Concierge to join our dynamic team at our Property Number 1 Ballsbridge. This role requires the candidate to oversee and carry out front of house operations, day-to-day facilities support to the Estate Manager and reception duties, ensuring the success of daily work activities.

 

Main Duties and Responsibilities:

  • Responsible for all day to day facilities services on site ensuring office appearance, planned and reactive maintenance, vendor oversight, purchasing of supplies, event support and space/move management occur as planned.
  • General Reception administration duties.
  • Handling customer and client queries, taking phone calls and email management.
  • Liaising with clients on a daily basis to update on tasks and projects where required.
  • Ordering of office consumables ensuring adequate supplies are available at all times.
  • Miscellaneous administration work, assisting in keeping site documentation up to date
  • Supervise contractors (both within and outside normal operating hours) including issuing of work permits, access badges etc.
  • Raising requisitions for orders and service call outs/issuing purchase orders to contractors/control of materials deliveries on site.
  • Generating reports on various projects.
  • Attendance & participation into client meetings, as deemed appropriate.
  • Manage outlet reservations, ensuring all group information received by e-mail/phone is dealt with and forwarded to all relevant parties.
  • Maintain immaculate presentation and grooming, wearing designated uniform/business attire and name badge at all times.
  • Ad hoc tasks as requested by the Estate Manager.
  • Provide a helpful, courteous and friendly approach to all staff and visitors.
  • Ensure the appearance of front of house is maintained.
  • Report any Health and Safety concerns to management.
  • Report any maintenance requirements to management.
  • Stock control, stock taking keeping storage areas clean and organised.
  • Coordinate the planning, and facilitation of events, workshops, seminars or conferences.
  • Prepare registration material for various clients, vendors and attendees.
  • Create and oversee management of booking system and website, online registration system, and email marketing process.
  • Manage the calendar of events for the facility to coordinate dates/times of events and training.
  • Manage contracts for meeting facilities, room rates, food service, transportation, budget, financial management, logistics, timelines, meetings, audio-visual equipment, marketing, on-site event management and supervision during events.
  • Evaluate programs for improvements. Make recommendations regarding day to day procedures and identify potential issues and solutions.
  • Coordinate program management with office staff and review office procedures as needed.
  • Provide leadership in establishing office policies and initiating improvements through technology or more efficient processes.

  • Excellent interpersonal and communication skills
  • Works with a 'Can-do' attitude
  • Knowledge of the Hospitality Industry
  • IT Proficiency is essential
  • High level of attention to detail
  • Excellent written, interpersonal and organisational skills
  • Excellent customer service skills
  • Minimum 2-3 years concierge/receptionist experience within a similar sized company/property.
  • Experience in a fast-paced Hospitality environment.
