Job Description Were seeking a highly organised and motivated Contracts Administrator to join our Projects Division.
This is a key support role focused on managing documentation, coordinating drawing registers, and ensuring project teams and supply chain partners receive the information they need on time.
While experience in a similar role is welcomed, it is not essential, and full training will be provided for the right candidate.
Key Responsibilities Manage and maintain project document management systems (both digital and hard copy) Issue drawings to the internal team, client, and external supply chain in a timely and controlled manner Update and organise drawing registers as new information becomes available Maintain accurate records of all documentation for Contracts Managers, Site Managers, Designers, and Subcontractors Track and support the submission of technical submittals, inspection reports, and other project documentation Assist with issuing tender enquiries and liaising with supply chain partners Help collate and format O&M manuals at project close-out stage Coordinate bookings for travel and accommodation when required for project teams What Were Looking For Were open to a range of backgrounds if youre organised, proactive, and have strong attention to detail, wed like to hear from you Essential Criteria Good standard of education with strong communication and organisational skills Computer literate, particularly with Microsoft Office (Word, Excel, Outlook) Ability to manage multiple tasks and meet deadlines A reliable and motivated approach to work Willingness to learn and adapt to project systems and processes Desirable (but not essential) Experience in a document control, administration, or construction-related role Familiarity with document control platforms such as Viewpoint for Projects Previous experience working in a Mechanical & Electrical or construction office environment What Youll Bring A proactive, can-do attitude with a willingness to take ownership of tasks Respectful, courteous, and supportive to all colleagues Good organisational skills and a strong eye for detail A willingness to suggest improvements to how information is managed and shared Reliable and adaptable when priorities shift or deadlines tighten The Company Offers Structured and supportive 12-month placement One-to-one mentoring and continuous feedback Involvement in real-world business improvement projects Ongoing training and development opportunities Working alongside experts in their field Health cash plan including compensation for dentistry and optical well being Enhanced maternity and paternity leave Additional holiday increase with length of service Team building and activity days Monthly employee value-based recognition award monetary gift Health, wellbeing and social calendar of events Long service awards Enhanced marriage leave Kingsbridge Membership Club We are a Responsible Body for Access NI.
