Job Title: Executive Administrator - Payroll & Finance Location: Hybrid working, 3 days in the Limerick city office Contract Type: 1 Year Fixed-Term Contract Job Summary We are seeking a highly organised, detail-oriented and proactive Executive Administrator to support our Finance & Payroll function. This role plays a key part in enhancing the quality and performance of the function by managing core administrative duties and coordinating project activity. Reporting directly to the Head of Finance, the Executive Administrator will be central to ensuring that strategic goals are supported through effective administration and coordination. Main Duties & Responsibilities: Quality Control Support: Support the design, execution, and oversight of quality control measures to maintain accuracy, consistency, and compliance across payroll and finance operations. Project Coordination: Support the planning, execution, and delivery of payroll and finance-related projects, ensuring alignment with departmental goals, timelines and compliance requirements. Payroll & Finance Tasks: Assist with payroll processing and ad hoc payroll-related projects, while also supporting the billing and credit control functions to ensure accurate invoicing and timely payment collections. Compliance & Risk Mitigation: Assist in identifying risks within payroll and finance operations and contribute to the implementation of mitigation strategies and compliance monitoring. Data Validation & Testing: Support data accuracy checks, system testing, and reconciliation activities during project rollouts or process updates, helping ensure outputs meet expected standards. Process Review & Documentation: Map current workflows, identify gaps or inefficiencies, and contribute to the design of improved procedures and controls. Maintain clear and accurate documentation for audit and reference purposes. Reporting & KPI Support: Provide support to the finance and payroll departments in preparing and analysing reports and assist in the development and tracking of key performance indicators (KPIs) to enhance operational insight, accuracy, and efficiency. Training & Change Support: Help prepare communication, training materials, and guidance to support change management and staff adoption of new tools or processes. Key Skills & Experience Required: Proven experience in an administrative or executive support role, preferably within a Finance, Payroll, or Recruitment agency environment. Exceptional organisational and time management skills, with the ability to manage multiple priorities. Strong attention to detail and commitment to accuracy. Confident working with spreadsheets, reports, and financial data (Excel proficiency essential). Excellent communication and interpersonal skills, with the ability to handle sensitive information discreetly. Experience with project coordination or support desirable. Proficient in Microsoft Office Suite and comfortable learning new systems. Self-motivated, adaptable, and capable of working independently and as part of a team.
