Facilities Coordinator

Location: Dublin (Central)

Salary: Circa €45,000 per annum

Are you an experienced facilities professional looking to take on a key operational and supervisory role in a high-profile headquarters environment? We are currently recruiting a Facilities Coordinator on behalf of a prominent public sector organisation based in central Dublin.

This is an exciting opportunity to support the effective delivery of essential health service infrastructure, working closely with internal teams, contractors, and external service partners.

We’re seeking a confident and capable individual with a strong background in facilities operations and a proven ability to lead teams, manage workplace issues, and foster accountability in a unionised environment

The Role

As Facilities Coordinator, you will be responsible for the day-to-day operations of a range of hard and soft services, including maintenance, security, cleaning, utilities, and waste management. You will ensure service delivery meets agreed SLAs, complies with statutory regulations, and reflects best practice in health, safety, and sustainability.

This is a hands-on role combining operational oversight with direct staff supervision. You will line-manage a team of 10 staff—5 of whom require particularly clear direction and performance oversight—while also managing external contractors and liaising with senior stakeholders.

Key Responsibilities

- Oversee delivery of soft and hard facilities services: cleaning, maintenance, security, waste, and utilities
- Monitor utility usage and identify opportunities for cost savings and efficiencies
- Coordinate fire safety systems, alarm testing, emergency drills, and related training
- Manage permit access, risk assessments, and overall site compliance
- Liaise with landlords and managing agents regarding building issues in leased premises
- Maintain accurate records, databases, and maintenance logs
- Lead and support staff, ensure performance standards are met, and encourage a positive team culture
- Support audits, procurement processes, and budget management (via IFMS/SAP)
- Champion sustainability across energy, waste, and water use
- Deliver excellent customer service and administrative support to internal teams

You Will Bring

- Demonstrated experience in a facilities coordination or management role within a complex, operationally active environment
- Solid knowledge of building management systems, risk assessments, and contractor supervision
- Proficiency in Microsoft Office and familiarity with SAP or IFMS financial systems
- Strong interpersonal and communication skills, with the ability to lead a team with confidence, clarity, and fairness
- A calm, assertive, and solutions-focused approach to staff and workplace challenges
- Ability to multitask, prioritise effectively, and remain organised under pressure
- A strong sense of ownership and a commitment to service excellence

Eligibility Criteria

- Meet one of the educational requirements outlined in public sector recruitment criteria (e.g., Leaving Certificate, QQI Level 6, or relevant clerical officer experience)
- Possess a satisfactory level of experience, knowledge, and ability for the role
- Previous experience within a statutory health agency or a Section 38 organisation is desirable
