The Role

We are looking for a proactive and organized Workplace Coordinator to join our team at Cubic Telecom. In this essential role, you will be responsible for ensuring a productive and efficient workplace environment that fosters collaboration and innovation among employees. You will support various operational functions including facilities management, event coordination, and employee engagement activities. This role is pivotal in enhancing the overall workplace experience for all team members.

Responsibilities:

1. Provide a welcoming and professional first point of contact for all employees and visitors.
2. Deliver core services, such as meeting room management, event support, and ensure our café area is set up in a professional and timely manner each morning and at lunchtime.
3. Ensure the café is kept clean and tidy to the highest standard for the most part of the morning until our cleaning team starts. At busy times, this will also mean lending a hand to load and empty dishwashers and tidy up as needed.
4. Restock kitchen supplies and manage the relationship with food suppliers and deliveries.
5. Ensure meeting rooms and collaborative spaces are maintained to high standards and are set up as required throughout the week. This will mean managing the logistics of office furniture (desks, chairs, and partitions) around the office as needed.
6. Fix minor malfunctions in kitchen and office equipment.
7. Monitor workplace conditions, such as fire alarms and air conditioning, and submit maintenance requests as needed.
8. Manage office materials to support workplace operations.
9. Coordinate and advise on office and parking space allocation and management.
10. Monitor activities that happen outside the building such as waste disposal and recycling.
11. Follow and implement health and safety protocols as necessary.
12. Maintain the relationship with the cleaning company, building management, other building tenants, and facilities suppliers as required.
13. Undertake errands and collections as required by the CEO Office and others.
14. Collaborate and work with other regional offices to ensure consistency of the Cubic office experience.
15. Any other reasonable request to ensure the maintenance, safety, and positive experience of the office to the highest standard.

Minimum Requirements:

1. Minimum 1+ years' experience in front desk management, facilities, hospitality, concierge, reception, or customer services is required.
2. Service-focused approach: Warm, approachable, and capable of handling multiple matters in an efficient way.
3. Strong communication skills: Ability to interact effectively with employees, teams, and visitors.
4. Team-oriented mindset: Proven track record of collaborating.
5. Attention to detail: Skilled at managing workplace standards and ensuring service consistently.
6. Problem Solving: Ability to apply pragmatic and common-sense problem-solving skills for successful outcomes.
