Job Summary:
We are seeking a highly organized and proactive Facilities and Office Coordinator to maintain a safe, functional, and welcoming work environment.
This pivotal role involves managing day-to-day office operations, coordinating logistics, and ensuring a positive employee experience. You will also work directly with our Senior Leadership team to ensure they have the necessary resources.
Key Responsibilities:
- Coordinate daily office operations and procedures.
- Manage security/access and other office services.
- Coordinate with vendors and service providers for office supplies, equipment, and services.
- Maintain the office condition and arrange necessary repairs.
- Manage relationships with service providers for cleaning, security, and other facility-related needs.
- Conduct daily checks of the facilities to identify and resolve issues proactively.
- Manage and schedule odd jobs to ensure our building looks its best for our people and customers.
- Act as Codec Health & Safety Officer.
- Organize fire drills and other emergency procedures.
- Maintain records of inspections, certifications, and safety-related training.
- Evaluate the office and building facilities to ensure compliance with health and safety regulation standards.
- Provide administrative support and assist in organizing company events.
- Perform other ad-hoc duties as required.
Requirements:
- Experience in facilities/office management supporting senior executive level.
- Ability to build relationships and work as part of a team.
- Ability to work with senior management and build trust.
- Meticulous attention to detail and ability to follow up on projects.
- Strong communication skills with excellent written and oral communications.
- Confident in exercising own judgement and making decisions.
- Capable of working on own initiative and resilient in a busy workload.
- Proficiency in MS Office (Word, PowerPoint, and Excel).
Desired qualities include customer focus, dependability, attention to detail, trustworthiness, loyalty, flexibility, adaptability, a positive attitude, and a strong work ethic.
