Job Summary

The successful candidate will be responsible for providing advanced, proactive diary and email management services, facilitating swift set-up of client meetings.

Key Responsibilities:

  • Provide efficient and effective diary management, ensuring seamless coordination of client meetings.
  • Be the primary point of contact for internal and external stakeholders, handling queries and resolving issues promptly.
  • Manage shared phone coverage, interacting with clients and senior members of the team.
  • Coordinate travel arrangements, including flights, check-in, VISAs, accommodation, and ground transportation logistics.
  • Process expenses, reimbursements, and account reconciliations in a timely and accurate manner.
  • Collaborate with the team to provide support and coverage during absences.

Requirements:

  • Demonstrate full competency in diary management, applying good judgment and understanding competing priorities.
  • Possess strong executive communication skills, able to communicate effectively with clients and colleagues.
  • Show experience in arranging travel, producing accurate itineraries, and navigating systems efficiently.
  • Demonstrate proactivity and ownership within a role.
  • Possess strong technical capabilities, with experience in Outlook calendar management.
  • Awareness of expense arena, expense systems, and cost control initiatives.
  • Possess a polished, professional approach, calm and composed manner, ability to work in a pressured environment.
  • Exhibit a positive, common sense, constructive attitude, driving bankers' schedules and managing time effectively.
  • Display flexibility, willingness, and openness to change.
  • Show a high level of attention to detail, delivering high-quality results.
