Job Overview

This is a full-time permanent role suited to an individual with a strong operational background, providing support and assistance within the region by overseeing daily activities from task allocation to completion.

Key Responsibilities
  • Manage regional schedules, including staff rosters and client appointments for various services
  • Handle helpdesk calls, filtering by priority and overall management
  • Manage on-call rotas
  • Liaise with technical experts on queries and provide follow-up and support to resolve issues
  • Assist with account management and coordinate billing processes
  • Support the finance department in dealing with client inquiries about invoices
  • Follow up with clients to obtain purchase orders and manage day-to-day administrative tasks
  • Liaise with suppliers and act as point of contact with procurement teams
  • Generate reports, including monthly reviews and updates of department guidelines
  • Provide support to experts in their duties
  • Ensure quality customer service by dealing with client queries and transferring them to relevant personnel
  • Liaise with senior managers on quotations, ensuring approval and sign-off prior to issue
  • Manage client queries and ensure satisfactory customer service is provided
  • Manage filing and store documentation correctly
  • Assist regional teams with excessive workloads as required
  • Liaise with other departments company-wide to support regional development
  • Develop knowledge of business operations and services provided
Required Skills and Qualifications
  • Administrative qualification or extensive experience in a fast-paced office environment
  • Minimum 3 years' administration experience in a dynamic work environment
  • Proficient in Microsoft Office and various software applications
  • Strong understanding of financial and budgetary controls
  • Excellent analytical ability with exceptional numeracy and data entry skills
  • Understanding of building services an advantage
  • Proven experience in a similar role
