Job Overview

This role is required to provide administrative support to the Quality Systems team in daily office, Certificate and Environmental tasks, as well as partner with other areas such as Quality Operations, Shipping, Production, Incoming Inspection, Customer service, etc. to resolve problems related to these activities.

Job Responsibilities

Work closely with Quality Systems staff and respond to requests from them. This includes but is not limited to: Ensuring relevant records (e.g., training) are orderly filed and easily retrievable Printing, scanning, lamination, distribution etc. of documents Co-ordinate meetings for Quality Systems (including booking meeting rooms, supporting technology, presentations and organizing refreshments when necessary). Proactively assist in the preparation of any presentations, documentation, letters, reports, etc. Work in a pro-active manner, anticipating the needs and requirements of Quality Systems. Prepare Newsletters in a monthly basis (including proactively dealing with stakeholder to gather content) Generation of Certs of Analysis and Certs of Traceability manually for each delivery as deemed required

Additional Responsibilities

Review and sign off on the output document (COCs, COAs, COTs) before circulation to the customer. Cert related tasks include: Reviewing SAP to obtain the relevant information, liaising with various department to gather the necessary traceability information and solve issues as required Managing priority of deliveries and returns by working with Quality, Production and Shipping. Administrator of Purified Water Systems and LAL Product testing. Tasks included but not limited to: Submission of samples and management of results Create work permits for external samplers and keep Safety Statement and Insurance up to date. Keeping sample Logs up to date Keeping relevant Weekly Metrics up to date Arrange Environmental tasks in the cleanrooms with external contractor (including the particle count, contact samples & Viable air samples activities). Provide cover, as required, for other Quality Systems staff

Key Requirements

Advanced Computer Literacy Skills - MS Office, online booking, etc. Working knowledge of SAP, Excel and Lot Genealogy (Routers & BOM’s) Ability to multi-task and deliver on requirements while prioritising sometimes conflicting needs and being flexible in approach and timing. Portray a positive and professional image of Quality Systems when dealing with other areas of TE. Presents a professional, pleasant, and approachable manner, with excellent communication skills both written and oral. Confidence in dealing with people at all levels in the company. Strong team player. Ability to work on own initiative; be proactive and anticipate support needs; drive initiatives to completion. Highly organised with an attention to detail. Experience with enterprise quality management software (e.g., SmartSolve) Formal QS training is an advantage

Level 6 in Quality or relevant discipline is preferred 2+ years of related experience is preferred
