Who We Are

The Irish Cancer Society is a community of patients, survivors, volunteers, supporters, health and social care professionals and researchers. Together, we are working to save lives and improve the lives of people affected by cancer in Ireland.

We are looking for a highly organised, friendly, proactive and committed Reception and Office Administrator to join our team. The purpose of the role is to carry out Reception and front desk tasks in the Society’s head office in Dublin, as well as to provide office related administrative support.

What You’ll Do

As Reception and Office Administrator you will have overall responsibility for ensuring the smooth running of Reception and working with the Facilities and Office Coordinator with maintaining efficient office operations.

Reception/front of house

  • Answer all telephone calls in a timely fashion, ensuring they are transferred to the appropriate person or department.
  • Receive and promptly circulate all incoming e-mails (info@irishcancer and reception@irishcancer.ie), while respecting full confidentiality of content.
  • Ensure the reception area is kept tidy and a professional image is maintained at all times.
  • Direct all donations from members of the public who come into Reception to a member of the Fundraising team.
  • Deal with members of the public in a friendly and sensitive manner and ensure that all their needs are addressed.
  • Accept deliveries, contact the relevant recipient to arrange collection.
  • Distribute security fobs to visitors/staff where required and manage the allocation of these, ensuring all fobs are returned.
  • Maintain the ACTManage door access programme, ensuring it is logged on and operational at all times, advise Facilities of any issues.
  • Order couriers and taxis and maintain a log of all bookings for the Finance Department.
  • Open up the front desk area in the morning and assist with evening lock up.

Office Administration

  • Assist with incoming and outgoing post, including post opening and circulating of post to relevant departments where required.
  • Process registered post and outgoing packages as required.
  • Perform general administrative tasks such as filing, photocopying, and scanning documents.
  • Manage office supplies and stationery inventory, ordering supplies as required and ensure the office is well-stocked.
  • Manage weekly deliveries of fruit/milk/miscellaneous, ensuring orders are put through on a regular basis.
  • Track and record Facilities and Office related expenses, ensuring invoices are submitted for approval in a timely manner and ensuring all appropriate backup is maintained.
  • Provide onboarding support to new staff members including provision of fobs, office tours, induction training support, assignment of lockers and other support.
  • Assist with scheduling and setting up office-based meetings, including ordering refreshments as required.
  • Provide general administrative support to in-office teams, as required.
  • Carry out other administrative duties as assigned by Manager.

Health and Safety

  • Test the fire bell on a weekly basis, ensuring fire alarm panel is in correct working order and advising Facilities of any faults.
  • Ensure all visitors sign in and out and maintain full visitor logs.
  • Provide assistance in the event of fire drills/evacuations, including visitor’s book roll call.
  • Arrange for health and safety training as required, including first aid training.
  • Assist with the maintenance of our health and safety records and files, including records of training, risk assessments etc.
  • Schedule regular Health and Safety Committee Meetings.
  • Record and circulate minutes of Health and Safety Committee meetings.

All about the experience: You are focused on the experience that visitors/callers to the Society have. You think about what it’s like for visitors and colleagues, and consider how to make the experience better.

Your Qualifications And Experience

  • Experience working in an administrative role. The typical candidate would have three years of experience but the Irish Cancer Society measures experience by the quality of the experience gained, rather than the number of years worked.
  • You will have an excellent telephone manner.
  • You will have good IT skills and are comfortable using Microsoft Office, and other software types (e.g. phone system, finance system etc.).
