This is a vital hire for Aviva Ireland Life, as the chosen post-holder will be tasked with providing high quality, administrative support to our COO & CFO, as well as offering support to their broader teams when needed. This is a great opportunity to work in a successful business, where you will need to use your creativity and initiative to improve the efficiency and effectiveness of our processes as well as build excellent relationships throughout the organisation. You will also be tasked with planning and coordinating the COOs/CFOsdiary, as well as event planning and managing travel arrangements - therefore showcasingexcellent organisational and planning skills will be a must, especially given the split of responsibilities across two c-suite members.

We will only be considering applications from candidates who have worked as a PA or EA previouslyin a fast-paced, corporate business, ideallyfor a senior Board level / C-suite member.

Duties & Responsibilities:

Effective and efficient diary management, organising and coordinating meetings and events for the COO & CFO Booking travel, as well as managing expense and procurement processes Working as part of the wider PA / EA team, ensuring that cover is provided as required Building and maintaining effective working relationships both within the business and externally Collating, preparing and distributing reports and packs in a timely manner Assisting the COO& CFO by preparing, chasing important documents / decisions, in line with business-critical deadlines Taking clear and concise minutes during meetings and then issuing actions with timely follow ups, to ensure completion Assisting with the creation of MS Office documents, such as PowerPoint presentations, as well as writing and sending out important office memos & correspondence Active involvement with all teams reporting to the COO & CFO functions Regularly liaising with senior internal and external stakeholders, exercising exceptional communication skills and building strong working relationships

Skills and Experience:

Prior experience working in a PA or EA position, ideally to a board member or C-suite executive (i.e., CFO, COO, CEO etc.), preferably in a large, complex organisation Strong administration and IT skills, including anadvanced knowledge ofMS Office Excellent planning, organising and prioritising skills with good attention to detail High level of professionalism when meeting external clients/guests Outstanding written and verbal communication skills Ability to manage expectations of managers and liaise with colleagues across all levels of the business Proactive approach to work, with a can-do attitude and a strong appetite to learn
