Role

Personal Assistant to the Director of Finance

Permanent Contract, 39 hours per week

About the Role

The Personal Assistant will provide proactive support to the Director and Deputy Director of Finance, supporting the day-to-day running of the organisation. Responsibilities include full secretarial, administration, project coordination and support services. The PA will communicate with internal and external stakeholders while managing busy diaries and schedules. You will be part of a wider PA team that collaborates on key Group projects and initiatives across different business functions.

What We're Looking For
  • 3-5 years in a Senior PA or Executive Assistant role
  • Proven experience as a personal assistant at senior level
  • Strong experience in Microsoft Office (Office 365, Word, Excel with reporting, PowerPoint) and related software/office solutions
  • Experience in preparing and reporting to Board level
  • Ability to maintain confidentiality with tact and professionalism
  • Ability to make informed independent decisions and know when to seek insight
  • Experience in mapping out and planning projects with senior management
  • Experience in advancing projects toward organisational goals

Your Responsibilities
  • Act as primary point of contact for the Director and support the Senior Leadership Team; maintain an effective executive support function and manage information flow.
  • Liaise with internal and external contacts, funders, customers and stakeholders; conduct research, collate information, prepare reports, coordinate and update projects and strategic documents.
  • Assist in developing and coordinating new policy and programme documentation.
  • Manage communications on behalf of the Director with external organisations and internal teams.
  • Prepare for representational engagements; format information for internal and external communication (memos, emails, presentations, reports).
  • Drive key projects on behalf of the Director; plan and update projects within agreed timelines.
  • Manage all secretarial and administrative duties for the Director; maintain diaries, arrange travel, meetings and agendas; prepare minutes and follow up on actions.
  • Prepare briefing materials for the Director ahead of meetings and events.
Additional Requirements
  • Educated to diploma/certificate level in a relevant discipline
  • Microsoft Office packages proficiency
