Administrative Support Coordinator

We are seeking an experienced Administrative Support Specialist to join our team in Dublin. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work under the guidance of senior colleagues.
The successful candidate will provide essential support to the team by managing calendar scheduling, coordinating meetings, and assisting with event logistics. This includes handling resource management such as office supplies and hardware, supporting onboarding processes for new hires, and assisting with space planning and team management activities. Additionally, you will help facilitate team experiences and morale-building efforts while ensuring smooth administrative operations.
Main Responsibilities:
- Calendar Management and Meeting Logistics: Prepare meeting settings (e.g., booking rooms, troubleshooting virtual settings, providing food) and manage ambiguous situations with direct guidance from senior colleagues.
- Event Coordination and Logistics: Support team experience activities as needed, assist with event execution (e.g., set up, tear down, catering arrangements), and support team morale and building team dynamics.
- Resource Management (Hardware/Supply Management, Purchase/Expense Management Financial Management): Proactively manage supply inventories (e.g., store room, hardware, office supplies, snacks) as needed, learn discretionary budgeting and company finance policies, and rely on guidance from senior colleagues.
- Space Management and Planning: Assist with team space move logistics as necessary.
- Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding): Provide onboarding support for new employees, vendors, and interns under the direction of senior team members (e.g., ordering new hire equipment, setting up workstations, distribution lists, security groups).
